CRM sharing options for a commercial real estate office

When a new company or office starts using ClientLook, they frequently ask us to help them decide how to set up their database(s). ClientLook can be set up one of three ways within an office:

1. Each person has his/her own separate database. There is no sharing of contacts, companies or properties with other people. The user can invite another broker to collaborate on a specific “deal”, but nothing else is shared including any contacts related to that deal.

2. A small team within the office can set up their own database, which is shared with only the other team members. Individual things (contacts, companies, properties, even individual notes or updates on a shared contact) can be marked as private so only the creator sees them, but anything else not specifically marked as private is shared. Other teams within the office do not have access to anything, as they have their own separate team database.

3. The whole office shares a database. Individual things (contacts, companies, properties, even individual notes or updates on a shared contact) can be marked as private so only the creator sees them, but anything else not specifically marked as private is shared. In addition, teams can be created within the master database, so that some things can be shared only with team members, while others are shared with the whole office.

All 3 methods are used by different offices – which is best for you really just depends on the culture of your office. Option #3 allows you the highest level of collaboration and allows you to share properties with the entire office, as well as share listings and comps once our new deal system is released later this year.
