Can you tell me a little bit about your business? What do you specialize in and what does your day to day schedule look like?

Tim & Joe: We specialize in office leasing in West Los Angeles to Hollywood. Our clients are mainly tenants who are on the west side of LA who are in the technology, entertainment/media, advertising, or professional service industries.

We work mostly with cool, fast-moving, creative clients, so we need a CRM that can keep up with us.

Our schedule starts with morning emails, research, and preparing for the day with specific clients. Then, we typically have our team meeting at 10:30am every morning, then we usually go to an industry networking event or business lunch, and then we spend our afternoons making phone calls and evenings doing business development. We try to attend networking events in the evenings.

When did you first start using ClientLook?

Tim & Joe: I (Joe) started using ClientLook about three years ago, after I was put in charge of comparing different CRM’s for the company. I did a demo of virtually every CRM out there and ClientLook was the clear choice.

Why did you choose ClientLook?

Tim & Joe: ClientLook is the most fluid CRM that we’ve ever worked with, the iPhone app is by far the best, the Virtual Assistant team is incredibly valuable, and the willingness of the ClientLook support team to help us were all big factors in the decision-making process.

What CRM solution were you using previously?

Tim & Joe: We have used REA, ACT, and APTO in the past. Prior to signing up for ClientLook, we had our contacts in Outlook and numerous property spreadsheets in Excel. As you know, trying to do follow ups and look through years’ worth of notes in Excel isn’t a good strategy and it caused frustration. ClientLook gave us the ability to digitize our business, and the ease of being able to access all of that information on the spot has really helped to streamline our business.

What problems has ClientLook solved for you? 

Tim & Joe: We strategized with the ClientLook support team to look at our data and make a plan for how each list should be imported. We took the time to add a couple of additional fields, and once we got all of the columns to align correctly, the import was a very easy process. Obviously, the ClientLook team knows the import process better than we do, so they were incredibly helpful! Chuck, Nathan, and Greg have all been great to work with! Greg is always following up with us to make sure that we are aware of how to use new features, and he helps us brainstorm the ways that we can be getting the most out of ClientLook. Greg has really taken the time to get to know our business and how we like to utilize the software to best meet our needs. We are a very specialized commercial real estate team, but ClientLook allows us to customize the database to fit our business.

What features do you like the most about ClientLook?

Tim & Joe: We like being able to save emails with each contact (the BCC features) and we use the Virtual Assistant every day.

You never know where your next lead is going to come from. Sometimes we’re at an event or we meet another tenant in a building elevator, and we send over the business cards to the VA to capture that contact information. The VA has also been great about putting our contacts into the groups that we specify so all new data is organized and accessible.

The iPhone app has been incredibly valuable; when we are doing a tour at a building I can email other tenants right from the app and try to set up meetings with them while we are there. Whenever we’re out of the office, we can pull up a contact easily without having to dig through previous emails. It’s been a real time-saver!

What problems has ClientLook will solved for you

Tim & Joe: ClientLook has allowed us to organize our data and have easy access to everything at our fingertips. Previously, when we were using Excel, that was a tedious task and the data was not easily accessible. Now we have ClientLook set up so all of our data is right there and we can easily contact every tenant in a specific building, send an email to those tenants, and track the analytics to see which tenants opened it.

We are now more organized since we have everything categorized into groups, submarkets, specific tenants, and we can send out targeted marketing to the appropriate list of people. We are also communicating better as a time, and have noticed that we convert more business now that we’re fully embracing ClientLook since we can assign contacts and tasks to each other, nothing falls through the cracks anymore.

What advice would you give to someone who is looking for a CRM?

Tim & Joe: Check out ClientLook! Seriously, you want to demo multiple CRM’s and put a small amount of data into each one. Sign up for the free trials and actually spend time using it. We like that ClientLook is very easy for people to learn, so even new associates or interns can catch on quickly.

How would you describe your overall experience with the ClientLook team?

Tim & Joe: I like that I know everyone’s role on the ClientLook team so I know who to contact when I have a specific question. We have direct contacts, and everyone responds quickly to make sure that we’re taken care of. The customer service is top-notch.
